Admin Assistant / Receptionist

Responsibilities : Answers and transfer phonecalls daily Schedule and arrange lunch hour receptionist duties on monthly basis. Purchase postage stamps and arrange taxi and courier services. Opening and distribution of mails and faxes to relevant departments. Updating of office phones list and vehicles list when necessary. Preparation of new join phone extensions, access level and access cards. (eg. Staff pass, petrol, car barrier card etc.) Perform daily backup of Falco system and download daily information into TMS software. Daily monitoring, updating and computation in TMS system for employee movements, email alerts and overtime hours. Assists in requisitions of stationeries and fixed assets. Application, updating of SOC, SIC and forklift related courses in excel file for new joins and renewals. Assist in training documentation and sourcing of training courses that complies with training quality procedures under ISO 9001. Issuance of medical chits to walk-in employees. Make arrangements for travel, visa and hotel bookings. Attends to walk-in customers or client visits and preparation of food and drinks. Checking status for items sent out by courier services and obtained “Proof of delivery” from courier companies for commercial department’s filing. Routine duties such as phones, lights, TV, aircon for coming in and before going off. Requirements : Minimum Nitec or Higher Nitec certified in Business Administration. Alternate Saturday work week. Fluent mandarin speaking and reading required to communicate with counterparts in China. Able to work in a fast paced environment. IT-savvy and able to multi-task. Location in West, Company transport provided at specific locations. Salary commensurate with experience. Only Singaporean or Singapore PR need to apply
