Production Administration Assistant

Job Summary

The primary role of the Production Administration Assistant is to assist on the day-to-day fulfillment of sales orders and inventory purchases from documentation to ensuring delivery of goods.  

Main Roles & Responsibilities

  • Prepare Sales Orders, Purchase Order (PO), Material Safety Data Sheet (MSDS), invoice, GRN and other related documentation as required
  • Monitor daily delivery
  • Liaise with customers on delivery status
  • Create PO (both from MGM and external suppliers) upon instruction from the Assistant Manager – Order Fulfillment
  • Attend to incoming telephone calls including recording queries/ complaints and taking orders
  • Preparing, photocopying, filing and scanning of document
  • Perform other ad-hoc duties as and when necessary
  • Inventory planning of raw materials required in production
  • Verify supplier's DO and invoices.
  • Prepare monthly production report
Reporting Relationships
  • Assistant Manager – Order Fulfillment
Skill and Knowledge
  • Preferably 1-3 years work experience in customer services / purchasing / Administrative function
  • At least college leaver with diploma 
  • Ability to communicate in English and the local dialects
  • Willing to learn and able to work under pressure
  • Good PC skills
  • Pleasant disposition
  • Good communication skills
