Administrative Support Intermediate
Essential Job Functions
Provide support to assist the day-to-day operations administrative activities support in a division level front office. This administrative support position requires considerable internal and external interactions within the National Reconnaissance Office (NRO), the Directorate, and Intelligence Community (IC) organizations. This position will include communicating between senior executives and management staff as well as a range of external resources; performing a wide range of direct front office support for technical and official functions. The incumbent will manage critical issues and adapt schedules within parameters of broad discretion and attention to detail based upon the criticality and confidentiality of government policies and programs. The incumbent shall provide services that include but are not limited to:
o Assist in maintaining office schedule/calendar, answer phones, plan and organize meetings, provide information to office customers, proofread documents, update databases, maintain excel spreadsheets and other administrative support.
o Prepare charts and presentations.
o Prepare and submit travel Request/Reservations
o Transmit and coordinate Travel Clearance Requests.
o Day to day office management, logistical support typing, filing, calendar maintenance, etc.
o Manage visitor clearances.
o Maintain an efficient office environment
* Supervises, reviews and oversees administrative aspects of assigned area including productivity, process, quality, functions and tasks to increase organizational effectiveness.
* Prepares work assignments and establishes office production priorities to increase efficiency and cost effectiveness.
* Develops and manages office/department programs to ensure maximum utilization of assets such as services, equipment, space, supplies, etc.
* Recommends and/or initiates the selection and hiring of employees. Trains and evaluates employees to enhance their performance, development, and work product. Addresses performance issues and makes recommendations for personnel actions. Makes recommendations for salary increases, transfers and terminations to manager.
* Explores and negotiates larger and more long-term contracts for office supplies in order to reduce company costs.
* Approves time sheets and provides guidance on administrative work schedules to ensure that company administrative needs are met.
* Oversees general administrative/department staff and coordinates with vendors to meet organizational needs.
* Supervises training of new office and administrative or department personnel to ensure that training is effective and meets company objectives and goals.
* May research, develop, write, execute and administer operating procedures, policies and guidelines. May collaborate and meet with appropriate stakeholders in relation to completion of identified assignments or work activities.
Qualifications
Basic Qualifications
* Bachelor's degree or equivalent combination of education and experience
* Bachelor's degree in business administration or related field preferred
* Seven or more years of office services or production processing operations experience
* Three or more years of leadership experience included
* Experience working with company office supply and services policies and procedures
* Experience working with purchasing and negotiating in order to interact with vendors and suppliers
* Experience working with company inventory and needs
* Experience working with company and department personnel needs to provide appropriate support as needed
Other Qualifications
At least 7 years experience as an Administrative Assistant with at least 5 years experience in an administrative position supporting one or multiple senior level managers (preferably with the NRO or other IC organization). Knowledge of administrative and clerical functions, processes, practices and procedures to perform administrative and clerical support duties, including office automation support, office procedures, filing systems, correspondence and mail processes and procedures and travel. At least 5 years proficiency in the use of Microsoft Office programs, especially MS Word, MS Excel, and MS PowerPoint. Must have an active TS/SCI clearance with a CI Poly.

* Strong leadership skills to train, mentor, provide work guidance, coordinate, oversee, and lead office services personnel and less experienced managers
* Good interpersonal skills for communicating with office services personnel and other company personnel
* Strong organization, time management and presentation skills
* Strong employee relations skills
* Ability to develop programs to control costs and analyze cost effectiveness of supplies and services
* Ability to keep sensitive and confidential material private
* Ability to handle multiple tasks simultaneously and switch between tasks quickly
