Vice President, Property Operations
The VP of Property Operations provides operational leadership to a 92 million sf portfolio of commercial assets consisting of nine regions, over 500+ employees, and 10 direct reports focused on operations and engineering. Emphasis is on the leadership of people and process, establishing and maintaining the most efficient best practices, optimizing structure of regions, and capital spend management. The VP of Property Operations applies expertise in high-level property management oversight to create and manage the portfolio’s value, to understand the portfolio’s business plans, and to influence a positive economic impact on our regional markets. Responsibilities
Leadership & Communication
· Select, manage, coach, and lead direct reports in the oversight of national property management operations.
· Collaborate with direct reports to ensure they are building and maintaining strong regional teams with the breadth and depth of experience to grow their regions in order for RMR to be considered a Landlord of Choice for current and prospective tenants and Employer of Choice for current and prospective employees.
· Collaborate, communicate, and manage productive relationships with corporate operations groups such as Accounting, Acquisitions, Asset Management, Engineering, Human Resources, IT, Internal Audit, Leasing, and Legal.
· Prepare annual reviews for Regional VPs.
National Portfolio Operations Management
· Develop and implement best operational practices for the regional offices, including the creation and maintenance of operational manuals for our 20 regional and area offices.
· Track RMR performance relative to industry competitors on a corporate, national, regional, and property level, and work with Regional VPs to exceed industry metrics.
· Ensure that high standards for performance and operations are understood and maintained.
· Visit properties to inspect buildings and to gauge adherence to standards.
· Work closely with Manager of National Purchasing & Engineering Systems to create national purchasing program, select vendors, and negotiate national contracts.
· Ensure appropriate staffing levels and skill sets to properties and regions, taking into consideration the complexity of properties and sophistication of tenants.
· Use knowledge of union contracts and requirements to determine best course of action regarding decisions to hire union or non-union employees.
· Set up new area and/or regional offices with appropriate staffing levels in order to optimally and efficiently manage assets.
· Participate in the transitioning of newly acquired properties and staff and assist in the due diligence process, when needed.
· Work with Risk Management department to understand and implement procedures and protocol for insuring our properties.
· Determine factors that impact regional performance such as market conditions and management, and offer recommendations that will yield positive results.
· Oversee National Engineering group to benchmark industry performance data and to optimize RMR’s engineering practices including energy procurement.
· Work closely with General Counsel and Regional Vice Presidents on issues that impact our assets such as easements and eminent domain.
Fiscal & Internal Operations
· Provide oversight to and coordinate annual budget process and business plan with regions; prepare mid-year reforecasts.
· Manage $70 million in capital spend.
· Oversee and review job cost process, write offs, A/R settlements, and escalation billing.
· Work with Regional VPs to respond appropriately to findings from internal audits and to ensure procedures are followed to avoid adverse findings.
· Assist in the development and coordination of quarterly and annual Regional VP meetings.
· Work with Human Resources on the hiring and performance management of staff.
· Plan for and manage RMR space needs in the corporate office and in the regions.
Tenant Relations
· Work in partnership with Regional VPs to develop Tenant Relations programs that are highly impactful and cost effective. Ensure that management staff is developing and maintaining productive relationships with tenants.
· Oversee the tenant survey process, analyze results, and enact changes where needed.
Requirements
· Bachelor’s degree required; MBA preferred.
· 20+ years’ experience of increasing responsibility in commercial real estate including leadership of a large portfolio of commercial property.
· Extensive experience managing, coaching, and inspiring direct reports.
· Experience developing and sustaining high-quality operations and efficiencies across a distributed portfolio.
· Ability to learn our business model quickly, bring fresh ideas to the role, and establish best practices.
· Highly developed verbal and written skills.
· Highly organized and efficient with the ability to handle multiple projects in a fast-paced environment, and the ability to think creatively and set priorities.
· Proficiency with Property Management/Accounting Software (preferably Yardi), Excel and other Windows applications.
· Ability to travel 50% within U.S.
