Human Resources Assistant


·         Provide general administrative support to the Human Resources team including the coordination of travel arrangements, scheduling meetings and conference rooms, arranging catering services, and assisting with the management of team members’ calendars.

·         Collaborate with Human Resources Associate to provide recruiting coordination support to a team of Talent Managers.

·         Schedule applicants for phone and onsite interviews throughout corporate and field offices, and administer skills testing.

·         Enter candidates’ background checks and monitor and distribute results.

·         Conduct reference checks for prospective new hires.

    * Draft and send out offer letters to prospective new hires.

·         Prepare applicant response letters and track employee referrals.

·         Work with Talent Managers to monitor online position requisitions daily. Coordinate with Talent Managers to obtain any missing data or approvals, or to correct any errors.

·         Post open positions on external websites as directed by Talent Management team.

·         Assist Talent Managers with removing web postings when positions are filled.

·         Maintain and update library of job descriptions.

    * In coordination with Human Resources Associate, maintain and update HR’s internal and external SharePoint site.

·         Cover reception desk during lunch on a rotational basis.

·         Assist with the management of employee files.

    * Complete projects or other assignments as assigned that require research and coordination.



·         Bachelor’s degree in Business Administration, English, Communication or related area of study.

·         1 - 3 years of related experience, preferably in a fast-paced Human Resources department.

·         Intermediate to advanced computer skills with Word, Excel, PowerPoint and Outlook calendar management. (Skills test will be administered.) SharePoint experience a plus. Publisher or another layout and design program a plus.

·         Excellent verbal, written, and interpersonal communication skills. (Writing exercise will be administered.)

·         Ability to prioritize and multi-task in a fast-paced environment; evidence of deadline orientation and time management skills.

    * Ability to exercise sound judgment and discretion and exude highest level of professionalism.
    * A high level of organization and a thorough attention to detail.

·         Demonstrated ability to support a team.

·         High energy, resourcefulness, and assertiveness.

·         Capable of seeing the big picture, acting as a hub of information flow, and able to keep projects moving.

·         Ability to work extended hours when necessary.
