Administrative Assistant

Our Horizon Oil Sands operation is expanding with project spending for 2012 forecasted at approximately $1.55 billion with future projected spending of approximately $2 - 2.5 billion each year for the next several years.

Become a key point of contact managing, coordinating and monitoring day to day activities for your assigned business area managers, team members and contractors working with your assigned group for the Horizon Oil Sands.

• Act as the contact person for the department and the team, ensuring that the communications and inquiries received from both internal and external sources are addressed and routed in a timely manner
• Composition, word processing, proof reading, formatting and grammatical editing support for a wide range of memos, letters, forms, spreadsheets, reports and presentations
• Maintain and organize calendars, schedules and organize tasks of team members
• Coordinate internal/external meetings; generate and distribute agendas, meeting minutes and reports (organizational charts, budget)
• Coordinate and keep track of travel arrangements and sick leave for team
• Coordinate, collect and compile departmental data on a weekly, monthly, quarterly basis for departmental and executive reports and briefings
• Maintain office preparation for new employees/contractors/temporary employees including requests for PC hardware and directory access
• Create PowerPoint/Visio presentations when requested
• Maintain the logs of letters, transmittals and confidential information
• Prepare expense reports and input requisitions into the Enterprise One system
• Maintain office equipment and order supplies
• Specific duties as required to support your assigned business area

• Typically 5+years of related experience and some formal office administrative training
• Efficiency in multi-tasking and proficient written and verbal communication skills
• Familiarity with and understanding of computer administration (Microsoft Office Suite is essential)
• Respect for confidentiality and attention to detail are required
