Office Administrator

RESPONSIBILITIES:

    * Being the face for the office
    * Answering phone calls, greet and direct multiple visitors and guests to the appropriate person in a timely and professional manner.
    * Maintain overall reception appearance (keeping front desk presentable)
    * Issuing of temporary badges and submitting weekly report to GoCentre.
    * Assist new employees with badges.
    * Logging all visitors (internal and external) into the building security
    * Various administrative tasks (conference room reservations, document input, scanning etc).
    * Partner with the IT department for any troubleshooting needs of the office as well as equipment needs.  
    * Help in setting up meetings and AV equipment (will be trained by IT)
    * Liaise with Canon for toners and servicing
    * Liaise with Facilities Management company for lighting, aircon, plumbers, etc
    * Working alongside with facilities team to ensure projects and issues are dealt with promptly.
    * Work with building management to keep SFDC up to date on all regulations and policies (insurance forms, security updates and IT maintenance) partnering with Office Manager.
    * Fire Warden for office space communicating with the Risk Management team in HQ on all issues for Health and Safety partnering with Office Manager
    * Liaising with staff for parking needs.
    * Maintain and issuing of office supplies and refreshments (water, coffee, tea, sugar, milk etc) as directed
    * Submitting food, coffee and office supply orders for Office Manager’s approval (weekly and monthly)
    * Organizing lunches for meetings (internal and external).
    * Maintain all FedEx ingoing and outgoing mail on a daily basis. Collect mail from mail box.
    * Support management team as and when needed..
    * Interact with all levels of staff on a daily basis
    * Updating of phone directory
    * Update of WW Contact List
    * Update of Vendor Contact List
    * Other miscellaneous jobs when required.

REQUIREMENTS:

    * Excellent interpersonal communication skills
    * Computer literate
    * 0-1 years prior experience
