The position supports general administrative and budget activities of Clinical Franchise Hyderabad. The activities include, but are not limited to: 1. On site Administration: Ensure fully functional office, site needs and systems in place. Support expansion of office space and infrastructure. 2. Reporting of FTEs, staff list, project organograms, updates every month. 3. Prepare and manage internal and external correspondence on routine matters independently. 4. Requisition, track, report and maintain records of purchases, services contracted, payments, asset listing etc. 5. Liase with Finance, IT, infrastructure, groups and various suppliers, contractors. 6. Human Resources Support - assist in recruitment, interviews, induction of new associates, joining and exit formalities. 1. Coordinate training programs, group interactions, meetings, team building and social programs. 2. Travel bookings - Coordinate for visa, itinerary, tickets and forex for foreign travel. 3. Hotel bookings and local transport arrangements for overseas visitors 4. Renewals of statutory licences, Annual Maintenance Contracts of office equipments. 5. Administrator for Timecard system. 6. Administrator for Access & Communications systems. 7. Ensure fully functional office for high quality output and statutory requirements are complied with. 8. Ensure smooth workflow, communication, policies/procedures, deliverables are in compliance with global set-up. 9. Ensure all requisitions, purchase orders, purchases in compliance with Finance SOPs 10. Ensure all associates complete and understand processes w.r.t. to joining, induction, time-card, attendance, leave records etc. 11. Managing departmental needs e.g. Stationary, Photocopiers, toners, printers, faxes, telephones, and accessories. 12. The position needs lot of discipline, integrity, dedication & Sincerity and high level of confidentiality to be maintained. 13. Maintainaince of personnel & office files needs meticulous planning and systematic approach. 14. Partner with the relevant business and IT support groups. 15. Manage planning and strategy for the Global Line Functions Intra webs & manage training of sub-webmasters. 16. Develop & communicate & execute on an aligned IT/business strategy in relation to intra webs 17. Align intra web planning requests to the strategy and prioritize to support the strategy 18. Independently drive & faciliate change via web technology & manage planning and execution phase of web projects relevant for Global Line Functions 19. Analyse and decide on IT requirements for input to the budgeting process Desired Profile University Degree (Bachelors) in Science/ Commerce with proficiency in computer knowledge / Data entry in Pharma documentation Very good communication skills in English. 1. Relevant experience for around 5 years 2. Work experience in a similar (pharmaceutical, research) environment will be an advantage. 3. Reliable and able to work independently, proactively and under pressure with minimum supervision. 4. Good organizational and communication skills. Familiarity with office automation tools. Willingness to work in teams and flexible time schedule when necessary. 5. Ability to multitask and work with diverse group will be a key need.
