Medical Scheduling Representative in Call Center

Initiate and/or respond to client calls regarding all necessary information to properly route a request for scheduling of a medical/diagnostic appointment /transportation/translation service in a timely, informed and courteous manner. Responsibilities include entering all information into computer system appropriately. Attention to detail and ensure that all client specific details are directed to the appropriate personal/entities. Provide instruction, information, and overall assistance to clients regarding problem resolution and company services in order to promote efficient service and client goodwill. Considerable tact and customer service skills are essential. Promotes the accuracy of client and provider databases.
Essential Job Duties:     1. Continually strives to understand, respond to and meet the changing requirements of our customers through teamwork, empowerment and innovation. Demonstrates understanding and respect for the vision and values of the organization in performance of duties. 2. Answers all incoming and handles outgoing telephone calls, handles letter of agreement requests and prepares computer generated communication, directs calls to the proper department or individual, and takes messages. Assures departmental coverage and attains minimum work criteria. 3. Handles customer related questions and problems in a courteous and efficient manner. Meets deadlines for client contact and file creation/maintenance. 4. Exhibits excellent written communication (grammar and punctuation) while notifying clients of approvals needed, cancellations, and problem files of a routine nature in a timely manner. Courteously responds to adjuster/case manager inquires regarding progress notes, order status and no-shows, etc. Courteously responds to patient questions, appointment information and changes. Documents client conversations. 5. Maintains knowledge of changes to departmental resources, procedures and policies, as well as changes to the Departmental Resource and Procedure Manual. Keeps abreast of computer changes and operational changes in the computer systems. 6. Maintains office equipment (i.e., printer, fax, scanner) and keeps them in working order. 7. Enters 100% detailed and accurate notes on all orders into computer system and pays special attention to correct client chosen and locality. 8. Follows through on client problems, reporting frequent or unresolved problems to the appropriate supervisor through established documentation procedures. 9. Assists in training new employees as needed. 10. Keeps own and related work areas clean and orderly. 11. Follows established CorVel policies and procedures. 12. Confirms all orders to be new and not duplicates prior to entering in computer system. 13. Confirm all information for scope of services of all orders. Request a copy of the diagnostic prescription on all orders. Upon receipt forwarding to medical records department (and provider when applicable) according to standard policy and procedures. 14. Remain available, independent and actively aware of phone response time during all work hours. 15. Makes inquiries and notifies clients of delays in scheduling, schedule revisions, and problem orders of a routine nature in a timely manner. 16. Meets turnaround time standards for all outgoing call functions. 17. Monitors and resends failed faxes and e-mails. 18. Adheres to company’s attendance policy. 19. Performs special projects and data entry. 20. Maintains record keeping and filing system in accordance with department system. 21. Promotes positive communication with clients, coworkers, and affiliated staff. 22. Performs other job related duties as assigned.
Education/Training Requirements:     Two year degree or equivalent education and work experience. Previous work experience preferred with a minimum of two years prior work experience or equivalent in a medical or customer service environment required. Must have excellent communication skills (written and oral), ability to pronounce medical terminology and aptitude to work with computers. Must be able to type 50 words per minute. Windows computer skills required. Must be able to prioritize tasks (i.e., STATs, etc.) and have ability to arrange work according to client hours, requests and complexity of calls. Must provide a positive atmosphere and image by practicing customer service competencies. Confident, independent problem solving abilities and judgment required. A broad spectrum of knowledge is required including knowledge of all resources available to resolve client inquiries and/or clarify orders. Utilizes interpersonal skills to coordinate duties and works well on team projects. Selfstarter and independent work ethic is required.
