Senior Business Services Analyst

The position of Senior Business Services Analyst reports to the Director of Business Services and works closely with the entire Business Service team, the various departments within IT, the internal AP departments and outside vendors to perform a wide range of activities related to the administration, processing and analysis of all IT invoices. The Senior Business Services Analyst’s primary responsibilities include, but are not limited to, overseeing and auditing invoices for Reit Management & Research, Five Star Quality Care and/or Sonesta International Hotels Corporation, analyzing trends within the various departments, and interacting with vendors in support of the procure-to-pay process.   

 

The Senior Business Services Analyst is also responsible for placing purchase orders (POs) with appropriate vendors, evaluating and resolving tickets assigned to Business Services, monitoring the status of invoices through all stages, confirming due dates, verifying and matching the purchase orders and receipts to invoices, fostering productive interactions with vendors as required, and the analysis of late fees, one-time charges, and other variances that may be part of the invoicing process. In addition, the Senior Business Analyst will be required to assist with inventory analysis and planning.

 

Preparation of IT budgeting, forecasting and variance analysis on a timely and accurate schedule is an integral important part of the Senior Business Analyst’s job.  Consolidating of actual results and critically examining the data for correctness and completeness will be essential.  The Senior Business Services Analyst will work with the Director of IT Business Services to suggest suitable process improvements are to the overall budgeting process as well as helping to coordinate in projecting the future budgeting and forecasting needs for the IT organization in support of RMR, Five Star and Sonesta, taking into consideration the various projects undertaken by the organization.

 

The position requires excellent communication and interpersonal skills and the ability to provide information and service to a wide range of internal and external contacts. The successful Senior Business Services Analyst is a self-starter and able to work both independently and interact well with a team of peers and varying levels of management. Excellent organization skills are critical to success.

 

Responsibilities

·         Including but not limited to the following, and other duties as may be assigned:

·         Maintain existing department-based invoice processing system supporting one to two of the three Companies.

·         Provide information, support and guidance for the three Companies’ Accounting/AP departments that the organization supports. This includes providing and updating correct distributions, allocations, etc., as required for invoice processing.

·         Perform complex invoice reviews to identify errors and discrepancies, and escalate issues to vendors as required by acting as the first point of contact with the vendors.

·         Supporting, maintaining, and updating budget system parameters, and budget/forecast information. Assist the Director of Business Services with quarterly forecasts and annual budget preparation and reporting.

·         Compile actual results and perform variance analysis to budget and forecast across the IT organization; and provide the information to the various IT department managers in a usable, value-added format.

·         Generate and audit year-to-date spend reports for one to two of the three Companies.

·         Oversee the daily fiscal and strategic operations of Business Services with the IT organization including placing and resolving incidents, requests and tasks assigned to Business Services.

·         Assist with inventory planning and purchasing for IT, including but not limited to, placing POs with appropriate vendors, monitoring the purchase from placement to receipt, analyzing quotes and comparing to actuals for both hardware and software.

·         Analyze and audit POs, invoices and other procurement/payment documents to ensure compliance and correctness.

·         Facilitate communication between the enterprise and its vendors in order to deliver products and services according to plan and within budget.

·         Ensure compliance to software licensing parameters.

·         Compile reports to track various metrics including missing invoices, late payments/fees assessed, invoice processing and approval trends, matching contracts to vendors, and other metrics as determined.

·         Manage administration of contracts, contracts that may be coming due, missing vendors/contracts, and reviewing bills for adherence to contracts’ terms and conditions.

·         Monitor the interdependencies between invoice processing, billing, and contract and vendor management and report trends and observations.

·         Assist in the definition of and adherence to control performance objectives and KPIs for budgeting and forecasting. In addition, refining and/or updating processes within the Business Services group and as they relate to the rest of the IT department will be an integral part of the Senior Business Service’s Analyst job. Maintain IT files, records and documentation as required by the position.

·         Ensure that deadlines are met, and that policies and procedures are followed.

·         Provide IT with occasional special project support.

 

Requirements

·         Bachelor’s degree required, plus experience working with information systems and purchasing.

·         Minimum three (3) years invoice processing/accounts payable experience.

·         Knowledge of budgeting and forecasting procedures a plus

·         Intermediate to advanced skill with Excel; intermediate skill with MS Outlook, PowerPoint, Word and Adobe software required. Familiarity with Avid (invoicing and purchase order system), Ariba (purchasing), budget and forecast systems (SaaS or in-house platforms) and Service Now ticketing system a plus.

·         Organizational and time management skills as well as attention to detail are necessary and essential.

·         Ability to work independently; ability to work effectively in a team; and ability to think creatively in this rapidly changing environment

·         Excellent customer service and communication skills, both oral and written; ability to write and maintain documentation and procedures.

·         Ability to manage time effectively, to meet deadlines, and to set priorities in a multiple task environment.

·         Ability to process a large volume of complex work

·         Self-motivated and goal-oriented
