Administrative Assistant
Position Summary:
This position provides confidential and effective administrative support to the staffing and compensation teams.
Responsibilities:
1. Assist staffing team with the administrative aspects of processing new hires, terminations, promotions, transfers, etc.
2. Generate and distribute business communications.
3. Post job vacancies and assist with placing recruiting advertisements.
4. Conduct exit interviews.
5. Assist with data cleanup and analysis of annual compliance reporting (e.g., Affirmative Action).
6. Review and enter employee change information into HRIS.
7. Monitor and follow up on outstanding actions and documents.
8. Coordinate new hire referral program.
9. Assist staffing team with coordinating job fairs and intern events.
10. Assist compensation team with processing merits, incentive, and deferred compensation.
11. Monitor and capture past due performance reviews.
12. Audit staffing and compensation processes and activities.
13. Conduct employment, compensation, and benefit surveys.
14. Generate and analyze various staffing reports – make appropriate recommendations.
15. Other duties as assigned.
Minimum Qualifications:
1. High school diploma or GED
2. Minimum two (2) years of administrative assistant or strong clerical support experience
3. Intermediate experience with MS Word, Excel, and Outlook
4. Ability to effectively perform basic business math
5. Ability to effectively compose business communication
6. Exceptional customer service skills and professional presentation in attire and communication
7. Highly organized and ability to effective prioritize and multi-task under tight timelines
8. Ability to maintain regular and reliable attendance
9. Ability to effectively work independently and within a team environment
10. Ability to effectively operate basic office equipment (e.g., phone, fax, copier, scanner, computer, etc.)
11. Ability to maintain high level of confidentiality and discretion
Preferred Qualifications:
1. Previous staffing or human resources experience.
2. Previous HRIS administration experience.
Physical Requirements:
1. Ability to sit for prolonged duration
2. Ability to perform repetitive finger, hand, and arm movements
3. Ability to bend, squat, and reach
4. Ability to speak, hear, and see clearly
5. Ability to lift up to 10 lbs.
6. Ability to think critically and provide appropriate solutions
