Payroll

JOB SUMMARY

 

Provides support and maintenance of the Human Resource Information System (HRIS) and performs back-up payroll processing.  Serves as the technical point-of-contact for system functionality and assists subject matter experts with ensuring data integrity, testing of system changes, report writing and analyzing data flows for process improvement opportunities.

 
ESSENTIAL JOB RESPONSIBILITIES

 

1.       Serve as back-up payroll processor for bi-weekly, multi-state, multi-company payrolls including, but not limited to, time and attendance adjustments, off-cycle payments and deductions, manual checks, maintenance of employee schedules, work/pay rules.

2.       Perform audit of payroll funding journal entries and other personnel/compensation changes.

3.       Conduct payroll reconciliations and resolve payroll issues internally and, as necessary, externally with HRIS vendor.

4.       Serve as HRIS administrator with duties including, but not limited to, researching and resolving HRIS problems, unexpected results or process flaws; perform scheduled maintenance activities; recommend solutions or alternate methods to meet requirements.

5.       Create, maintain, and support a variety of reports or queries utilizing appropriate reporting tools.  Assists in the development of standard reports for ongoing internal customer and vendor needs.  Ensure data integrity by running queries and analyzing data.

6.       Develop and maintain HRIS procedures manual.  Solicit input and distribute updates on a regular basis.  May assist in training users on processes/functionality.

7.       In conjunction with HRIS vendor, review and resolve discrepancies related to quarterly and annual payroll tax filings.

8.       Respond to various reporting requests from state and federal governmental agencies.  Assists in providing data located within the HRIS for inclusion in development of the annual Affirmative Action Plans.

9.       Respond to employee requests regarding payroll and HRIS system access.

 

10.    Responsible for complying with the various rules, regulations, policies and ethical standards governing the financial services industry including compliance with the Bank Secrecy Act.

 

11.    Performs other duties as assigned.

 
SUPERVISORY RESPONSIBILITIES

This position coordinates the activities of the Payroll Specialist.

 
MINIMUM REQUIREMENTS

 

·        Bachelor’s Degree in business, human resources, or information systems or equivalent combination of education, system training, and payroll experience.  

·         Professional certification (APA, PHR, SPHR) a plus

·         5+ years of related experience.

·         Prior experience with the UltiPro HRIS/Payroll system extremely advantageous.

 
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

 

·         Knowledge of fully implemented HRIS system and complex report generation.

·         Knowledge of payroll administration including in-depth understanding of all rules, laws, regulations, processing procedures, recordkeeping methods, and control systems.

·         Ability to handle sensitive and confidential information.

·         Strong interpersonal and communication skills

·         Ability to read and interpret documents such as business processes, policies and guidelines, operating and maintenance instructions and procedure manuals.

·         Ability to write routine reports and correspondence.

·         Ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems.

·         Ability to deal with nonverbal/verbal communication in its most difficult phases.  Ability to deal with a variety of abstract and concrete variables.

·         Ability to meet strict deadlines

·         Ability to multitask

·         Excellent communication, both oral and written, and coordination skills.  Ability to speak effectively before groups of employees.

·         Solid decision making skills combined with ability to exercise good judgment.

·         Commitment to superior customer service.

·         Computer skills -- proficient use of Excel to prepare moderately complex spreadsheets and basic knowledge of Word to prepare a variety of correspondence.   In-depth knowledge of and ability to use HRIS/payroll software (preferably UltiPro).

 
ROUTINE DECISIONS AND FORMAL POLICY SETTING

 

·         Makes decisions regarding Payroll and HRIS administration processes and payroll decisions such as eligibility for hours requested, leave pay, supplemental payments.

·         Determines the validity and required deductions for wage garnishments.

·         Determines the proper tax treatment of wages and deductions, i.e., deferred compensation.

·         Formally responsible for making recommendations regarding policies associated with the job’s purpose and essential responsibilities.
