Group Sales Coordinator

Job Description:

Job Summary:

Reporting to the Marketing Director, the Group Sales Coordinator is responsible for coordinating all bus and/or day trips groups, contacting groups and scheduling upcoming tours, creating reports and coordinating analysis, and maintaining relationships with vendors.

 

Essential Job Functions:

    * Coordinate sales programs as delegated by the Supervisor.
    * Coordinate the administrative functions (schedules, transportation, food, and/or other benefits) for a client base.
    * Enter data into the computer system accurately and efficiently.
    * Work with the Bus Greeters to ensure the operation of group arrivals and departures.  
    * Greet and check in groups.
    * Provide service as needed to the customers.
    * Maintain and update manual and computerized files, records, manifests, and scheduled reports.
    * Accurately imports information into date specific spreadsheets.
    * Effectively and enthusiastically communicates the benefits of the customer loyalty program and provides players with a compelling reason to play at Horseshoe every time.
    * Cross sells property events (shows, promotions, etc.) and amenities (hotels, restaurants, etc.).
    * Assist Total Rewards with signing up new guests or reprinting guest cards.
    * Help solicit new customers and return customers.
    * Provide follow-up for any group or guest inquiries.
    * Maintain confidentiality over proprietary promotions, financial data and future promotions.
    * Works with Marketing Manager to ensure that printed materials are ordered and produced in a timely fashion
    * Creates and distributes communication to other departments as pertains to upcoming bus  and tour groups
    * Works with VIP Services team to reserve blocks of hotel rooms for groups as needed
    * Works with Director of Marketing as needed to refer banquet business to virtual hotel partners
    * Assist in the creation of necessary coupons in house and keep affected departments informed on all coupons in circulation.
    * Works with Marketing Manager to ensure that all advertisements, web sites, rack cards, and any other Marketing materials are accurate and up-to-date
    * Other duties as assigned.

Qualifications:

    * Excellent telephone communication skills and computer skill are necessary.
    * Literate and fluent in English.  Must be able to converse in English with guests, give clear directions, and be familiar with area events and attractions.
    * Must have the proven ability to provide courteous, friendly and efficient service.  .
    * Ability to maintain composure and excellent guest elations under all circumstances Must be able to work any day of the week and any shift including nights, weekends, and holidays
    * Basic Computer skills (WORD, EXCEL, PowerPoint, etc.)
    * Able to type 35 words per minute
    * Strong interpersonal and teamwork skills
    * Taking direction from multiple Leads/Supervisors/Managers from multiple areas
    * Maintain upbeat and positive attitude across multiple tasks and environments
    * Ability to multi-task
    * Must be able to work and quickly maneuver inside and outside.  Must be able to work outdoors in all weather conditions, including temperatures in excess of 100 degrees and as cold as 20 degrees.
    * Must be able to work independently.
    * Must be able to stoop, bend, and lift objects that weigh up to 100 pounds.
    * Must be able to push and/or pull heavy rolling loads in excess of 300 pounds.
    * Must be able to respond to visual and aural cues.
    * Acts as a role model to other employees and always presents oneself as a credit to Horseshoe and encourages others to do the same.
    * Adheres to all regulatory, company and department policies and procedures.

 

Education and Work Experience

    * High School diploma required.
    * 1-2 years experience in a tourism sales environment is preferred.
    * A minimum of one-year customer service experience in a position where there is direct customer contact preferred.

 

Physical, Mental and Environmental Demands:

    * Must be able to work independently.
    * Must be able to sit, stand or walk for long periods of time (4 hours).
    * Must be able to respond calmly and make rational decisions when handling employee conflicts.

    * Must have the manual dexterity to operate a computer and other necessary office equipment.
    * Must be able to tolerate areas containing dust, loud noises and bright lights.
    * Must be able to work varied shifts, weekends and holidays as needed.
    * Ability to simultaneously manage several projects, and not be frustrated by changing priorities and unforeseen obstacles to achieving objectives.
    * Ability to speak distinctly and persuasively.
    * Must be able to read, write, speak, and understand English
