Our Oakland, CA office is in need of a part-time Administrative Specialist. We are seeking an energetic, detail oriented, reliable individual with strong communication skills, the ability to take initiative, multi-task, and be flexible to meet changing deadlines. This individual will be responsible for a maintaining professional front desk environment. General administrative duties include but are not limited to typing, filing, coordination/distribution of mail/FEDEX correspondence or packages, answering phones, coordinating travel arrangements, coordinateingnew hire paperwork, local event planning, coordination with the Property Management regarding facility issues and responsible for representation of office safety and fire warden duties. Additionally, may handle more complex office responsibilities such as technical editing for internal or client reports and documents, conducting research, cost tracking, preparing statistical reports, training employees and hiring and supervising other clerical staff. Negotiate with vendors, maintain and examine leased equipment, purchase supplies, manage areas such as stockrooms or corporate libraries and retrieve data from various sources. Provide field office support to division and Corporate departments (i.e., HR, Accounting, Proposal and Contract departments, etc.).
This individual must be able to work well with others in a team setting. Applicant must be punctual, dependable with the ability to prioritize work and also work independently as a self starter. The successful candidate must demonstrate maturity with the ability to maintain effective communication with peers, corporate management, and clients.
At least four years minimum experience in an office related position along with a basic understanding of computer and office equipment. MS Office proficiency and specific experience in the following: Outlook, Excel, PowerPoint, Word, technical editing and handling of QA-related documents.
Previous experience working with engineering organizations is required.
High School diploma required; higher level education desirable. Must be able to successfully pass required background checks.
