Office Manager


This is the perfect job for the candidate who thrives in a fast paced environment juggling multiple tasks while ensuring the office(s) runs efficiently and who enjoys the challenge of always thinking a step ahead.   Successful candidate will also be flexible and good-natured to handle a wide variety of functions that vary from basic to complex and challenging.

Responsible for managing the tracking of all company assets across all locations.

Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.

Manage all facilities vendor relationships, negotiate contracts, and renewals.

Responsible for all company office locations – maintain lease terms; negotiate manage third-party service vendors; relocation or new office set-up; coordinate and communicate with local resources as needed; etc

Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.

Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.

Distribute local mail and assist staff with preparing mailings and shipments as needed.

Manage local office access badges and overall office security.

Evaluate need for and requisition adequate office supplies.

Greet visitors, answer phones, and respond to a wide variety of calls, concern and/or complaints for the purpose of resolving problems, providing information, and/or referring to appropriate personnel.

Proactively anticipate and coordinate special projects and assignments to meet deadlines.






Associate degree required, BA/BS preferred.

5+ years office management experience required.

Experience negotiating contracts.

Microsoft Office suite, Excel, Word, Outlook, and PowerPoint.

Thrives when juggling multiple tasks in a fast environment.

Independent and proactive self-starter with the ability to continually look for ways to accomplish tasks efficiently or improve processes.

Demonstrated diplomacy.

Service oriented and derives satisfaction from helping others be successful.

Excellent communication skills with the ability to build relationships, collaborate, and relate to a variety of personalities.

Able to quickly solve problems finding win-win solutions.

Ability to handle confidential and sensitive information.

Able to produce reports and analyze data.

Exceptional planning skills, organized, and be able to prioritize.  Tasks need to be taken to completion.

Able to lift or move items of moderate weight

Able to respond to local office security calls evenings and/or weekends as needed
